Following up after a trade fair: why the first days matter so much
Sourced figures on trade fair follow-up, and a simple routine that starts at the stand and ends in the days after the fair.

The cost of a fair does not stop at the stand: travel, hotels, samples and days away from the office all add up. The return comes from the people you meet there, and only if you get back to them.
What the numbers say
We found no quantitative study specific to Turkey. Surveys from Germany and the US, however, paint a consistent picture:
- In an AUMA survey of 404 German exhibiting companies, carried out in autumn 2025, about 49% judge a fair’s success primarily by the contacts, leads and new customers it brings. About 20% use visitor counts as a proxy, especially where no structured lead tracking exists. About 10% measure nothing systematically. (AUMA-Aussteller-Ausblick 2026/2027)
- According to EXHIBITOR Magazine’s 2015 survey, 62% of trade show leads are contacted within five days, but only 22% of exhibitors respond within 24–48 hours. 69% pass all leads to sales without vetting them. (ExhibitorOnline)
- Another finding quoted from the same magazine’s survey: at least 40% of trade show leads go unfulfilled. (Zuant, 2018, secondary source)
- According to CEIR, 54% of sales that start at a trade show close in three calls or fewer. (ExhibitorOnline)
You will often read that “80% of trade show leads are never followed up”. We could not find a primary source for it, so we do not use that number.
In short: most exhibitors neither measure nor follow up quickly. Getting back within two days already puts you in the minority.
Follow-up starts at the stand
A good follow-up does not start after the fair; it starts at the stand. When you take the card, note three things:
- Interest level. Hot, warm or cold. It decides whom you call first after the fair.
- What you talked about and what you promised. “Price list”, “samples”, “visit in March”. One sentence is enough; a voice note works too.
- When you will get back. Not a vague “later”, but a day.
The first days after the fair
- First 24–48 hours: the hot ones. Send what you promised, with a short message to remind them who you are. Few exhibitors reply this fast; that is your advantage.
- First week: the warm ones. Write a personal message that picks up a detail from your talk at the stand.
- The cold ones: send the catalogue and make a note for the next fair or season.
- Log every contact. When you called, what you wrote, what the next step is.
- Close the list. How many people did you meet, how many did you get back to, how many are still waiting? If you can answer that, you are measuring the fair.
